eBay Account Management for Brands and Volume Sellers

eBay account management is the day to day running of your seller account by an outside team. It covers listings and item specifics, promoted listing campaigns, shipping settings, returns and the seller standards that decide what you pay in fees. We have run marketplace accounts since 2019 and moved more than $100 million in sales.

Two changes that hit this year

Both are live now, and one can stop you selling.

Fashion sizing became mandatory in August 2026

eBay now requires standardised size details on clothing and footwear listings. Its own wording ties this to maintaining selling capability, which puts it in a different category from a normal recommendation. If you sell apparel at any volume, this is the first thing to check in your account.

It sits alongside a wider push. Coin listings needed standardised condition details from mid June 2026. Pre loved fashion condition grades landed in July 2025. eBay is steadily converting free text into structured fields, and the deadlines are real.

Promoted listings changed on 13 January 2026

eBay split its ad slots. Priority campaigns now get exclusive access to the first ad position at the top of search results. General campaigns are shut out of that slot entirely.

Attribution changed at the same time. A general campaign sale now counts inside a 30 day window where the purchase can come from any buyer, not just the person who clicked your ad. That quietly widens what you get charged for.

A naming problem worth knowing about

eBay retired the names Promoted Listings Standard and Promoted Listings Advanced. The current products are the general campaign strategy, which is cost per sale, and the priority campaign strategy, which is cost per click. If an agency is still pitching you Standard and Advanced, they have not read eBay's documentation since the change.

What you actually pay

Two numbers circulate widely and both are out of date.

The per order fee is not a flat $0.30. Since March 2024 it has been $0.30 on orders up to $10 and $0.40 above that. And most categories are not 13.25%. eBay raised final value fees on 14 February 2025, capped at 0.35 points, which put most categories at 13.6%.

CategoryFinal value fee
Most categories13.6% to $7,500, then 2.35%
Books, Movies and Music15.3% to $7,500
Jewellery and Watches15% to $5,000, then 9%
Trading cards and collectibles13.25% to $7,500
Athletic shoes at $150 or more8%
Guitars and Basses6.7% to $7,500
Heavy Equipment3% to $15,000, then 0.5%

Add 1.65% on international sales. Insertion fees start after 250 listings a month at $0.35 each.

The store tier detail almost nobody explains

A Basic store or above drops most categories from 13.6% to 12.7%. That is the headline everyone quotes. The part they leave out is that the reduced marginal rate of 2.35% starts above $2,500 on a paid store, against $7,500 without one.

So the store discount is small on cheap items and large on expensive ones. If your average order value sits above $2,500, the subscription pays for itself many times over. If you sell $30 items, the maths is much tighter than the 0.9 point gap suggests.

Store tierMonthly, annual billingFree fixed price listings
Starter$4.95250 auction style
Basic$21.951,000
Premium$59.9510,000

Seller standards, and the penalty that compounds

eBay grades every account on the 20th of each month. Sellers with 400 or more transactions are judged on the last three months. Everyone else is judged on twelve.

Three metrics decide your grade: transaction defect rate, cases closed without seller resolution, and late shipment rate.

LevelDefect rateCases without resolution
Top Rated0.5% or lower0.3% or lower, max 2
Above Standard2% or lower0.3% or lower, max 2
Below StandardAbove 2%, 4 or more buyersMore than 2 and above 0.3%

Below Standard is where it gets expensive. You pay an extra 6% on final value fees. Stay there four consecutive months and it rises to 7%. On top of that you lose search position, lose access to promoted listings, and face reduced selling limits and payment holds.

Read that again in context. A seller in most categories pays 13.6%. Below Standard turns that into 19.6%, then 20.6%. That is usually the whole margin.

Top Rated Plus pays for itself

Top Rated Seller status needs 90 days of account age, 100 transactions and $1,000 in US sales over twelve months, a defect rate at or under 0.5%, cases closed without resolution at or under 0.3%, late shipments at or under 3%, and tracking uploaded within your handling time on 95% or more of US transactions.

Top Rated Plus is applied per listing on top of that. It needs same day or one business day handling and a 30 day or longer free return window. The reward is the seal in search plus a 10% discount on final value fees.

The gap between Below Standard and Top Rated Plus is roughly seven points of fee on the same revenue. Very little else you can do to an eBay account moves money that fast.

What eBay does not publish

Being straight about this matters more than sounding clever.

eBay names seven Best Match factors: keyword match, item popularity, price, listing quality, listing completeness, terms of service such as returns and handling time, and seller track record. It publishes no weightings and no scores, and says plainly there is no secret formula. Anyone showing you a percentage breakdown of Best Match invented it.

The same applies to item specifics. eBay separates required aspects from recommended ones and explains the point is discoverability through filters and query matching. It does not publish a ranking penalty for missing them. Required fields are enforced when you create or revise a listing, which is a different mechanism from search suppression.

eBay also publishes no seller count. What it does report, for the quarter ending June 2026, is $22.4 billion in gross merchandise volume, 136 million active buyers and 2.6 billion live listings.

What the work covers

Listings and structured data

Title and item specifics work against required and recommended aspects by category, variation listings, condition grading, and the sizing and condition standards eBay keeps adding. Bulk revision through Seller Hub rather than one listing at a time.

Advertising

General and priority campaigns run against different goals, since one charges on sale and one on click. Ad rate testing, keyword and negative keyword management on priority campaigns, and Promoted Offsite where the item and margin support it. We report on total advertising cost of sales, not campaign ACOS in isolation.

Standards and disputes

Defect rate monitoring against the 20th of the month, case handling before it closes without resolution, late shipment prevention, and returns policy settings that qualify listings for Top Rated Plus.

Shipping

Handling time, tracking upload discipline and shipping policies. For cross border trade, the eBay International Shipping programme, where you ship domestically to an eBay hub and eBay handles customs and delivery to more than 200 countries. Note this replaced the old Global Shipping Program, which no longer exists for US sellers.

eBay stopped doing seller updates the old way

For years eBay published two big Seller Updates a year, in spring and autumn. Most agency content still talks about them. eBay moved to monthly Seller News instead, and the last conventionally numbered update in its archive is January 2025.

That matters operationally. Requirements now arrive in smaller pieces, more often, with shorter lead times. A quarterly review cycle will miss them. Recent months carried real changes:

  • Team Access, October 2025. Multiple users on one account with separate permissions, so you stop sharing a password with a VA.
  • Intelligent Dispute Defense, June 2026. One click responses to buyer disputes.
  • Delivery delay protection, August 2026. If you ship on time using eBay labels and the carrier is late, you are protected.
  • Rule based campaign exclusions, May 2026. Keep specific listings out of promotional campaigns automatically.
  • Your Cost, December 2025. Cost of goods tracking inside Seller Hub.

The delivery delay protection is the one to act on first. Late shipment rate feeds your seller level, and until August 2026 a carrier delay counted against you even when you did everything right.

What this has produced

Four accounts we can point at, each with the detail on its own page.

Since 2019 we have handled more than $100 million in marketplace sales, and our profiles across freelancing platforms carry more than 300 reviews at a 5.0 average.

How we run an account

Weeks one and two

A full audit before anything changes. Seller level and the three standards metrics against their thresholds, fashion and condition compliance, item specifics coverage by category, store tier against your average order value, campaign structure and wasted ad spend. You keep the findings either way.

Month one

Fix what costs money now. Any metric drifting toward Below Standard, open cases at risk of closing without resolution, listings blocked by the new sizing requirement, and campaigns spending without sales. We also check whether your store tier still matches what you sell.

Ongoing

Weekly campaign review, listing revisions, case handling, standards monitoring ahead of the 20th, and a monthly report showing total advertising cost of sales, fee rate as a percentage of revenue, and progress against Top Rated Plus.

When you should not hire us

  • You are under roughly $20,000 a month on eBay. A retainer takes too much of the margin. Buy a one off audit and act on it.
  • You are already Below Standard because of a supplier or fulfilment problem. Fix the operation first. No account work outruns late shipments.
  • You sell a handful of high value items a month. You need good listings and a store tier that fits, not a manager.
  • You want a guaranteed Best Match position. eBay publishes no formula, so nobody can promise placement honestly.

What this costs

Full management starts at $1,200 per month for a single marketplace, with a 90 day initial term and 30 days notice after that. Larger catalogues are quoted after the audit, because the driver is listing count and case volume rather than revenue. The audit is free and yours to keep.

Common questions

What are eBay final value fees in 2026?

Most categories are 13.6% up to $7,500 and 2.35% above that, plus a per order fee of $0.30 on orders up to $10 and $0.40 above. The 13.25% figure still quoted online is outdated. It changed on 14 February 2025.

Is an eBay store worth it?

It depends on your average order value. A Basic store cuts most categories to 12.7%, but it also moves the reduced 2.35% rate down to $2,500 from $7,500. On high value items that is a large saving. On cheap items the gap is much smaller than it looks.

What happens if I become a Below Standard seller?

You pay an extra 6% on final value fees, rising to 7% after four consecutive months. You also lose search position, lose promoted listings access, and can face selling limits and payment holds. Evaluation happens on the 20th of each month.

How do I qualify for Top Rated Plus?

Reach Top Rated Seller first, which needs 100 transactions and $1,000 in US sales over twelve months plus defect, case and late shipment thresholds. Then set same day or one business day handling and free returns of 30 days or more on the listing. It earns a 10% discount on final value fees.

What changed with promoted listings in 2026?

From 13 January 2026 priority campaigns get exclusive access to the first ad slot in search, and general campaigns are excluded from it. General campaign attribution also moved to a 30 day window where a purchase by any buyer can count, not only the person who clicked.

Do missing item specifics hurt my ranking?

eBay publishes no ranking penalty. Required aspects are enforced when you create or revise a listing, and eBay frames the rest as discoverability through search filters. Anyone quoting a specific penalty figure is guessing.

Does the Global Shipping Program still exist?

Not for US sellers. It was replaced by eBay International Shipping. You ship domestically to an eBay hub and eBay handles customs and final delivery to more than 200 countries.

Does eBay have AI listing tools?

Yes. Magical Listing builds a listing from a photo or barcode, there is an AI description option in the listing flow, and background enhancement produces studio style images. An AI Assistant for buyer messages arrived in August 2025.
